Program and Finance Assistant – Abuja – Micronutrient Initiative

Overall Purpose/Board Function
To contribute to the effectiveness of MI program in Nigeria through providing efficient program and administrative support services to the project staff to ensure timely and efficient micronutrient program delivery, in line with Ml’s policies and procedures and objectives.

Key Duties and Responsibilities
Project Management Administration:
Assist in preparing of all necessary documentation related to program activities, in line with Program Finance Processes and Procedures manual, including grant agreements, contracts, purchase orders, Travel Letters, budget re-allocations, project extensions and/or supplements, project completion reports, and the regular project completion reports and project summaries.
Assist Ml program staff with the management and tracking of program budgets, milestones, reports so as to ensure that all obligations are met by the recipient and Ml.
Undertake day-to-day project administrative responsibilities such as determining funds available to project, preparing project estimated costs in consultation with program staff and, responding to recipient’s requests for budgetary re-allocations etc.
Monitor project budget expenditure and alert Ml program staff, as required.
In consultation with Ml program staff, liaise with grantee on the submission of technical and financial reports and ensure obligations are met by both the grantee and Ml.
Assist in administering the consultancy assignments including preparation of contracts, cheque requisitions, checking invoices, preparing payments, timely submission of reports and other follow-up action.
As and when required, place orders for goods and services and arrange payments.
Take appropriate actions, in the absence of Ml program staff, to follow up with projects issues, such as answering stakeholders’ questions, representing them at routine meetings, and debrief them upon their return.
Use of websites to collect data and statistics for projects when requested by program staff.
Assist MI program staff in updating the Contract Database.

General Administration:
Make the appropriate travel arrangements for the program staff, consultants, workshop participants, visitors, etc. including Travel Authorities, travel itineraries, travel letters, visas, etc.
Assist with the organization and logistics for program meetings and workshops.
Complete expense claims reports for program staff.
Provide general office administrative services to program staff, such as fax, scanning, printing, photocopying and filing.

Financial Management:
Assist the Director in managing service providers, purchases & equipment and manage local operational agreements.
Management of payroll, staff taxation and related compliance in coordination with Payroll Administrators.
Ensure all office operations payments are completed on time and accurately.
Ensure sufficient cash levels for the Nigeria Office by preparation of country cash flow projections.
Preparation of monthly financial statements and ensure appropriate coding/allocations.
Responsible for maintenance of the Nigeria office fixed asset schedules and ensuring all assets are tagged and insured.
Submit monthly activity sheets for Team to the Regional Office.
Assist with annual audit.
Any other duties as requested.

Supervisory Responsibilities:
There is no supervisory responsibility.
Education/Professional Designations/Experience

Education:
Bachelor’s degree in Business Administration or other related field from a recognized university or an acceptable combination of education and experience.

Experience:
5 years working in an office environment.
3 years working in a program management environment.
Experience managing office finances.
Experience working with the Microsoft suite.
Experience working with database, an asset.

Language Skills:
Fluent English.

Travel Requirements:
No travel requirement for this position.
