Warehouse Officer – Mercy Corps

Program/Department Summary
With the insurgency affecting North East Nigeria and displacing millions of people, Mercy Corps is expanding its humanitarian programming to support the conflict-affected population in Borno. In response to the ongoing crisis,
Mercy Corps is scaling-up food security, non-food items, nutrition, protection, livelihoods, and water sanitation hygiene (WASH) activities in Dikwa, Ngala, and Jere Local Government Areas in Borno State to address emergency needs.

General Position Summary
Mercy Corps is looking for a Warehouse Officer responsible for overseeing and managing the provision of materials, equipment, and supplies for all Mercy Corps programs in Dikwa/Ngala
The Warehouse Officer will oversee the reception, storage and distribution of all items and supervise warehouse staff.

Essential Job Functions
Maintains receiving, warehousing, and distribution operations by initiating, coordinating, and enforcing program, operational policies and procedures.
Complies with Mercy Corps warehousing, material handling, and shipping requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
Safeguards warehouse operations and contents by establishing and monitoring security procedures and protocols.
Controls inventory levels by conducting physical counts; reconciling with data storage system.
Maintains physical condition of warehouse by planning and implementing new design layouts; inspecting equipment; issuing work orders for repair and requisitions for replacement when needed.
Preparing monthly or biweekly reports that analyze variances; initiating corrective actions.
Completes warehouse operational requirements by scheduling and assigning employees; following up on work results.
Maintains warehouse staff by recruiting, selecting, orienting, and training employees.
Maintains warehouse staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.
Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional development.
Builds and maintains external partners hence builds on collaboration , influencing and impact
Contributes to team effort by accomplishing related results as needed.
Handle all record keeping and tracking within the required timeframe
Coordinate laborer’s activities and ensure there are enough laborers to support that activities (loading, unloading, restacking, etc)
Conduct a physical count of commodities on hand at the end of every day or every week as needed, and reconcile that account with information in the NFI Tracking System database. Report any discrepancies to the Logistics Officer and the Head of Office with reasonable explanations.
Regularly compile commodity lost status report, logistics summary and NFI distribution plan and submit all reports to the Deputy Team Leader.
Maintain a daily monitoring of NFI items with recording, NFI data management, and any related warehouse duties.
Maintain an accurate and consistent filing system of copies of warehouse, handling, transportation, service, and other key contracts, agreements and documents.
Attend internal and external coordination meeting as may be requested .
Conduct himself/herself both professionally and personally in such a manner as to bring credit to Mercy Corps and to not jeopardize its humanitarian mission.

Knowledge and Experience
At least 2 years’ relevant experience, ideally in commodities tracking, warehousing and distribution of food and Non-food items.
Two years of record keeping and store management preferred,
Experience in logistics and warehouse management.
Solid skills in data entry management.
Well-developed computer skills with strong familiarity of databases (MS Access), Microsoft Word and Excel and ability to write clear, accurate reports.
Ability to work under adverse conditions which may change quickly requiring flexibility
Ability to control inventory, analyze information and write clear and accurate reports.
Ability to follow procedures, meet deadlines, and work independently and cooperatively with team members.
Good experience and skills in commodity tracking system management.
Experience with NGOs and food programs is an advantage.
Ability to communicate in English and Hausa, fluency in Kanuri also strongly desirable.
Experience with staff supervision.
Skills and experience operating and maintaining warehouse structures and equipment. .
Close attention to detail and a sound judgment essential.

In particular, the successful candidate will be willing to travel to locations such as Dikwa and Ngala according to the needs of the Mercy Corps program.
This will mean sometimes staying and working in stressful environments with very basic living conditions, strictly following security protocols at all times and sometimes working long and irregular hours.
Mercy Corps team members represent the agency both during and outside work hours. Team members are expected to conduct themselves in a professional manner and respect local laws, customs and Mercy Corps’ policies, procedures, and values at all times and in all in-country venues.
